Healthcare Administrator oversees a team of administrative professionals working in all aspects of the clinic’s operations. In general, responsible for meeting metrics/goals, process improvement, patient/therapist satisfaction, insurance/billing, state/federal and local regulatory laws, standards and protocols and overall center operations.

 

The person in this position must be willing to become an expert in all areas of the clinic’s operation. IN addition, they need to be willing to perform services in all areas and gain the skills necessary to fill in for all positions in the event of staffing shortages or workload increases.  The Administrator will work alongside employees in all positions for which they have supervisory responsibility.

 

Specific areas of supervisory responsibility include the following:

Responsibilities

Oversee the following which includes personnel, systems, delivery of services, documentation, billing/insurance, etc. Become center expert in all areas of operation

  • Front end staff assisting therapists, doctors, staff, families, caregivers in person, with on the phone and electronic communication avenues. Take the lead in training. Fill in as needed to ensure seamless delivery of service to patients and excellent doctor-therapist-caregiver relationships.
  • Process paperwork as needed regarding referrals, insurance, billing, and documentation.
  • Appointment scheduling/system operations.
  • Completion of all aspects of documentation required by patient, provider, insurance company, referral office, etc. 
  • Monitor/order/replenish supplies needed for operation of the practice.
  • Ongoing processing/updating of documentation required for clinic and therapists regarding licenses, certifications, etc.
  • Ongoing review of local, state and federal requirements to ensure all necessary documents are up to date for the clinic, therapists, therapist assistants, etc.
  • Center compliance regarding confidentiality, HIPAA, storage, health/safety regulations, etc. to ensure overall operation of the clinic follows (in compliance with) all local, regional, state and federal regulations. 
  • Education of staff in all areas of compliance.
  • Organization of overall center files – updating system as needed.
  • Regulatory compliance with HIPAA, OSHA, labor laws, and other federal, state, and local regulations.
  • Coordination of logistics for internal and external meetings and conferences.
  • Marketing duties related to physician relationships, insurance relationships, vendor relationships.
  • Ensures staffing is appropriate for day to day operations
  • Assists in special projects
  • Assists in recruiting clinicians and personnel issues.
  • Protects patients’ rights by maintaining confidentiality of medical, personal, and financial information.
  • Hiring staff to meet workload. Training staff in all areas of operation. Provide onboard training and processes that ensure all state, federal, local regulations are met in all areas.
  • Training secondary experts in all areas in order to have one additional employee as a back-up (in addition to Center Administrator) with expertise in all areas of the center’s operations.

Provides therapist support on an ongoing basis.

  • Obtains and records patient medical histories, test results and other information for medical records, insurance, referrals, and billing.
  • Works with therapists on scheduling, patient check in and check out and medical records maintenance.
  • Prepares treatment areas, as needed, and ensures appropriate sanitation requirements are met.
  • Works as a member of the team to ensure patients receive compassionate support and assistance for all center services. 
  • Works with therapists regarding the EMR/EHR system to ensure proper use and completion of all required elements.
  • Provides troubleshooting assistance and research regarding any issues encountered by therapists in overall operation of the EMR/HER system and internal systems.

 

Requirements

  • Completion of master’s program at an accredited institution in an area related to healthcare or extensive experience in a similar role.
  • Experience in healthcare setting working with pediatrics and families or education that focuses in the area.
  • Knowledge of healthcare operations and systems as well as continuous improvement strategies.
  • Familiarity with medical and insurance requirements, regulations, etc.
  • Familiarity with medical terminology.
  • Knowledge of HIPAA laws.
  • Ability to write policies and procedures.
  • Ability to use/learn medical software and Microsoft software.
  • Knowledge of EMR/EHR software systems.

Works as a team member in all aspects of the overall clinic operations. Participates in identifying continuous improvement strategies in all areas of the clinic’s operations. Reports directly to the Clinic Administrator.

 

Primary Responsibilities will focus on overall patient and therapist delivery of service to ensure satisfaction. Additionally, focus will be on vendor, caregiver, community relations that grows Akkeri Healthcare.

Responsibilities will also include front desk activities, scheduling, patient intake/care documentation, EMR system, etc. Other duties and special projects may be assigned.  This position will be required to work in all areas of clinic operations and may be placed on special projects.

 

There will be a 30 day evaluation, 60 day evaluation and 90 day evaluation. During this time, the position will be in probationary status.

 

Primary Responsibilities

 

Customer Service

  • Provides point of contact that is welcoming and encouraging for all patients via phone, electronic communication and/or in person visits.
  • Takes phone calls from patients, labs, physicians, vendors, etc. in a manner that is friendly and representative of the holistic attitude of care provided by the center.
  • Documents telephone conversations and refers to appropriate staff.
  • Checks all forms of communication (email, voice messages, etc.) and responds appropriately.
  • Follows up placing and returning calls to patients, doctors, insurance companies, billing agencies, state agencies, regulatory agencies in a timely manner.
  • Performs follow up calls to overdue patients and missed calls.
  • Establishes and maintains effective relationships with key stakeholders.
  • Ensures patient satisfaction, including troubleshooting when there is a complaint and developing process improvements to prevent recurrences.
  • Troubleshoots for systemwide challenges in customer service, delivery of services, and overall client-vendor relations. Identifies challenges and develops plans to address challenges. Implements plans under the direction of the Center Administrator.

 

Therapist support

Patients and therapists are integral stakeholders. This position will focus on ensuring satisfaction of both by performing related functions.

  • Obtains and records patient medical histories, test results and other information for medical records, insurance, referrals, and billing.
  • Works with therapist on scheduling, patient check in and check out and medical records maintenance.
  • Prepares treatment areas, as needed, and ensures appropriate sanitation requirements are met.
  • Works as a member of the team to ensure patients receive compassionate support and assistance for all center services. 
  • Works with therapists regarding the EMR/EHR system to ensure proper use and completion of all required elements.
  • Provides troubleshooting assistance and research regarding any issues encountered by therapists in overall operation of the EMR/HER system and internal systems.

 

Scheduling/Patient/Therapist Communication

  • Works with practitioners and patients to schedule patients for clinical/in-home sessions and/or teletherapy sessions.
  • Ensures patients have appropriate equipment/connection for teletherapy sessions. Works with patients and families regarding preparing for session.
  • Initiates communication with patients prior to any appointment: appointment reminders, clearance regarding current health considerations, insurance, etc. 
  • Identifies any needs, concerns, etc. and communicates this information to the appropriate personnel in a timely fashion.
  • Keeps patient appointments on schedule by notifying provider of patient’s arrival, reviewing service delivery compared to schedule, and reminding providers of service delays.

Marketing

  • Identifies potential doctors to generate referrals.
  • Works with communications/marketing to deliver marketing materials for the clinics.
  • Conducts marketing calls and visits to current and potential doctors to obtain referrals and grows the business.
  • Gathers market information from doctors and additional sources regarding targets for growth.
  • Gather information from doctors regarding ease of referrals and possible system improvements to promote referrals.

 

Referrals

  • Coordinates/processes referrals supporting DOD and private insurance referrals.
  • Verifies referral is complete and follows up with referring physician’s office. This includes ensuring documentation is complete in regards to prescription, required tests, evaluation authorization, ISP, IFAPs, PC plans, behavior plan, demographics. 
  • Performs follow up duties, as needed, to ensure all referrals are complete per insurance requirements and DOD requirements. Enters all referrals in EMR system and verifies information is complete and scheduled.
  • Performs other duties as required in the area of referrals. 



Secondary Responsibilities

 

Billing/Insurance Support

  • Maintains patient accounts by obtaining, recording, and updating personal and financial information.
  • Obtains revenue by recording and updating financial information, recording, and collecting patient charges, controlling credit extended to patients, and filing, collecting, and expediting third-party claims.
  • Preparing, reviewing, and transmitting claims using billing software, including electronic and paper claim processing.
  • Following up on unpaid claims within standard billing cycle timeframe.
  • Checking each insurance payment for accuracy and compliance with contract discount.
  • Calling insurance companies regarding any discrepancy in payments if necessary.
  • Identifying and billing secondary or tertiary insurances.
  • Researching and appealing denied claims.
  • Setting up patient payment plans and work collection accounts.
  • Updating billing software and working with billing vendor, as needed.
